Job Summary

The Legal Assistant works alongside their Attorney, handling cases in the Pre-Litigation phase while maintaining an open line of communication with clients, providers, and inter office teams.

Responsibilities and Duties

  • Distribute insurance company  emails/requests  for the different statements (aka interview) and Medical Examination appointments to the appropriate staff  (These requests for statements are called Personal Injury Protection Statements-(PIP Statements), Examination Under Oath  ( EUO Statements),( 3rd party informal statements are defendants request for statement) and the  Independent Medical Examination is called  (IME and/or CME Examination).
  • Contact Client for IME Appts  confirm if date and doctor location is convenient, if Yes submit notice to client. If No, then contact the IME vendor  to reschedule.  Send letters accordingly & confirm after appt if client attended. If they did not, attempt to get new date from carrier.
  • Contact  assigned attorney  for the 3rd party  informal statements to get approval  for the  Statement Department  to handle it.
  • Contact client to confirm date/ time of appt ( for both phone and in person appointments). If not acceptable, contact carrier & reschedule.
  • Confirm new dates with clients.  Send out appointment letters with Notice  (whether telephone conference, or scheduled appointment at carrier’s attorney’s office,  court reporter’s office, and/or our office.  ( For all in person appts  in our office we must be present with client).
  •  Send out appointment letters to client for In House Interviews (for all offices) for any 3rd party requests (once it has been cleared with both client and adjusters).  Same procedure for over the phone interviews.
  • Schedule in calendar, list type of appointment (over the phone or in person) and list all parties involved in statement.  
  • Set Calendar reminders to contact client and adjuster or attorney handling claim to confirm agreed appointment date.
  • 4 days prior – contact reminder to client and adjuster and/or carrier attorney confirming  via phone and email (if necessary)  and
  • 1 day prior is the same procedure.
  • Prepare client for statement by reviewing the file going over his/her injuries, review incident (if auto – review  accident report, review treatments , review their ins policy for any coverage issues)  If any additional injuries not noted in file advise attorney of same.
  • Upon commencement of statement  type questions/answers in system. Translate if needed upon commencement of statement.  
  • Must sit thru entire statements and/or EUO’s until completion.  
  • Report to Supervisor any issues during statement for her to intervene or resolve issue.
  • During statement if needed to intervene due to any  harassment towards client, will do so. If supervisor advises and if necessary, we must then contact attorney assigned to file and conference them in to the call.

Qualifications and Skills

  • In Office position.
  • One year minimum office experience.
  • Excellent customer service skills.
  • Strong multitasking skills, highly organized, and detail oriented.
  • Able to work at a fast pace with a heavy case volume (65-75 cases)
